BMJ Best Practice
Find out who's responsible for what:
Local KLS team
Responsible for:
- promoting to users
- working with your clinical governance teams to implement local guidance functionality within BMJBP
- working within your Trust to influence support for integration of BMJBP into your electronic health record system
NHS England
Responsible for:
- managing the contract and relationship with BMJ, and working with them to develop the products for NHS needs
- working with national stakeholder networks to promote BMJBP
What support is available?

Copyright
Find out who's responsible for what:
Local KLS team
Responsible for:
- ensuring staff are aware of their copyright responsibilities under both the NHS CLA Licence and the ‘library privilege’ exceptions
- submitting data for the annual NHS CLA Licence data return if you have agreed to do so
NHS England
Responsible for:
- negotiating the NHS CLA Licence
- monitoring use and usage of the Reprints Desk
- liaising with the NHS Copyright First Responders to answer queries
- coordinating the completion of the annual CLA Data Return

e-Resources audit
Find out who's responsible for what:
Local KLS team
Responsible for:
- completing the audit of locally purchased electronic resources every two years
NHS England
Responsible for:
- developing the audit template and process
- analysing the data from the audit and using this to identify resources for national purchase and push for greater transparent pricing from suppliers
- providing a summary of the national picture
What support is available?
Guidance in the audit submission template.
HLISD entries
Find out who's responsible for what:
Local KLS team
Responsible for:
- making sure that library site entries have accurate contact information about the library, its services, and the staff in the team
- verifying your entry at least once a year via the HLISD admin portal
NHS England
Responsible for
- managing the joint relationship with HLG and the contract with the supplier, Artefacto
Holdings Link Manager (HLM)
Find out who's responsible for what:
Local KLS team
Responsible for:
- managing your local collections/subscriptions on all the Hub instances you are responsible for, reviewing quarterly or when you purchase or cancel a resource
- checking with your suppliers (if necessary) to make sure you select the appropriate HLM package for any collection/title you purchase
NHS England
Responsible for:
- ensuring that national collections are up to date

LibKey and LibKey Nomad
Find out who's responsible for what:
Local KLS team
Responsible for:
- making sure your local collections are correct in HLM for all the Hub instances you are responsible for
- working with your local IT team to roll out LibKey Nomad to all Trust desktops
- Promoting LibKey Nomad to library users, and offering appropriate support and training
NHS England
Responsible for:
- managing the contract and relationship with ThirdIron, working with them to develop the products for NHS needs
What support is available?
NHSE Service Desk for FAQs and troubleshooting.
Training sessions in conjunction with Third Iron.
NHS Knowledge and Library Hub
Find out who's responsible for what:
Local KLS team
Responsible for:
- promoting the Hub to users offering appropriate support and training
- embedding the Hub search box in local websites and/or intranets
- checking that the relevant database indexes are switched on for any locally purchased resources, so that they are discoverable on your Hub
- notifying the NHSE Service Desk of changes of contact details for Ask a Librarian / Request this item (if you have not received an Ask a Librarian / Request this item email for some time, consider sending a test message)
- requesting any necessary changes to the ‘bottom branding’ links for your instance
- reporting any issues that you or your users spot to the NHSE Service Desk
NHS England
Responsible for:
- escalating service issues with the Hub to the relevant suppliers
- making sure that the national selection of databases and resources in all Hub instances is maintained and refined
- actioning all changes requested via the Service Desk
- researching and commissioning developments to improve the Hub
- developing the library.nhs.uk site as a generic entry point to the Hub

OpenAthens administration
Find out who's responsible for what:
Local KLS team
Responsible for:
- making sure someone in your team is acting as the local administrator for all OpenAthens organisations you manage

NHS England
Responsible for:
- co-ordinating and chairing quarterly National and Regional Administrators Group (NARAG) meetings
- working with library services to develop the organisation structure within the OpenAthens system
- supporting the national administration and contract management at NICE
What support is available?
Help and advice from the Regional/national administrators through the NHSE Service Desk.
OpenAthens admin refresher sessions. Request these through the Service Desk.
Procurement and National Core Content
Find out who's responsible for what:
Local KLS team
Responsible for:
- promoting the national resources
- monitoring your usage statistics to understand how resources are being used
- using the NICE Framework for books, journals and databases when you are buying locally to ensure that you are getting the nationally negotiated TandCs
- logging any feedback about national content suppliers through the NHS Service Desk
NHS England
Responsible for:
- procuring and managing contracts with NICE
- NHSE and/or NICE quarterly contract review meetings - including raising any issues from local services
What support is available?

Provider database platfoms
Find out who's responsible for what:
Local KLS team
Responsible for:
- promoting the range of databases to local advanced searchers, as appropriate
- providing training and support to searchers, as appropriate
- reporting any service issues through the NHSE Service Desk to ensure the NHSE team is aware
NHS England
Responsible for:
- working with suppliers to integrate full text links within database results
- managing the relationship with suppliers, working with them to develop the databases for NHS needs
What support is available?
Promote the range of databases to local advanced searchers, as appropriate.
Provide training and support to searchers, as appropriate.
Regional library management systems
Find out who's responsible for what:
Local KLS team
Responsible for:
- making sure that your service follows regional policies and procedures
- making sure that your library service is represented on operational group and Board meetings
NHS England
Responsible for:
- managing the contracts with suppliers
- ensuring SLAs are in place for regional administrators
- providing leadership and chairing board meetings
What support is available?
Help and advice from your regional LMS Manager/Administrator through the NHSE Service Desk.
Statistics
Find out who's responsible for what:
Local KLS team
Responsible for:
- monitoring your usage statistics to understand how resources are being used (this will come from a range of sources, including the e-resources dashboards maintained by NHSE, as well as from individual suppliers)
- requesting access to e-resources dashboards through the NHSE Service Desk, if necessary
NHS England
Responsible for:
- commissioning new dashboards
- keeping e-resources dashboards up to date
- running e-resources Usage Statistics webinars
What support is available?
Dashboard FAQs on the NHSE Service Desk.
E-resources usage statistics webinars are available for new staff and as a refresher course.
